About the role
We are looking for a General Affairs Administrative Assistant to join us.
Joining our team you will be responsible for providing general and administrative duties including supporting office operations, facilities management, vendor management, assisting with marketing materials and assisting with compliance matters. The role requires strong organisational, IT, and communication skills.
Key responsibilities
General Affairs Administration Tasks:
- Provide support to related working parties such as Administrative General Manager, Registered Managers and other managerial personnel
- Work collaboratively and effectively with other departments
- Liaise with clerical, medical staff at all levels and with external contracts
- Serve as the main point of contact
- Act as communication relay, make sure all parties receive necessary information and that this information is accurate
- Work in adherence to the company’s standards, practices and policies
- Ensure policies and standards are kept current, are approved, and that employees are aware of their implications
- Implement and maintain procedural/administrative systems
- Create and maintain filing and other office systems
- Write reports when necessary
- Order office supplies as requested
- To receive relevant purchase invoices, and check invoice details, ensuring that all details agree, before processing onto the purchase ledger by Accounts team for payments
Facilities Duties:
- Assist the day-to-day running of clinics and offices in terms of facilities
- Monitor and maintain IT infrastructure collaborating with outsourced IT support providers and contractors
- Provide administrative support to manage and maintain the fixed assets of the company
Marketing Liaison:
- Work closely with external creative agencies to design marketing materials such as brochures and adverts
- Arrange the effective distribution of marketing materials
- Support to manage content for social media and websites

- Good IT proficiency, particularly with Microsoft Office Suite

- Experience with data entry and maintaining information systems

Hours:
40 hours per week. Monday to Friday 09.00 to 18.00

City (EC2M/EC2N ) / Acton (W3)
